We know what your destination's office actually wants.

跨越体系,亲历文件的复杂 — 中英双语服务

Every year, thousands of documents cross borders — degrees chasing job offers abroad, powers of attorney selling property back home, birth certificates registering marriages, corporate papers opening subsidiaries overseas. Each one has to pass through two systems that were never designed to talk to each other: the American chain of notaries, county recorders, and Secretaries of State on one side, and whatever the receiving country actually requires on the other — translation rules, freshness windows, formats that vary by province or by office, and rarely match what a generic guide tells you to expect.

Most services know only the American half. We built PacificDesk to know both halves — whichever country your document is headed to. Our founder holds a PhD and spent years in international academic and research roles before turning to cross-border document work, with personal, repeated experience navigating exactly this kind of paperwork. That experience taught one lesson above all: when a receiving office abroad says no, no amount of a correctly issued American apostille will argue them out of it. The only thing that works is knowing, before anything is stamped, exactly what that specific office will accept — whether it's a notarial office in China, a comune in Italy, or a consulate processing a Vietnamese file.

That's the whole method: we start every order at the destination and work backward. Which office receives this? Do they require the certified copy to be issued within six months? Do they accept a US-side translation or insist on a local one? Only then do we touch the American chain — the fresh certified copies, the correctly worded notarizations, the right Secretary of State. It's slower to ask first. It's much faster than doing it twice.

Where we work 我们的位置

We're based in the San Francisco Bay Area, about an hour from the California Secretary of State's public counter in Sacramento — which is why we can offer genuine same-day California rush service: when your deadline is real, we drive your documents in ourselves. For the other 49 states and federal documents, we run established mail and courier channels. For destinations that require local-side processing — China's notarial offices and Foreign Affairs Offices, for example — we work with vetted partner channels in that country. One order, however many chains it takes, wherever it's going.

What we believe 我们的原则

Only sell what survives scrutiny. There are shortcuts in this industry — notarized photocopies dressed up as certified copies, certificates that say more than anyone verified. They come back stamped and they fail at the worst possible moment, in front of the office that mattered. We don't sell them. Every certification we submit says only what the certifier actually knows.

Honest triage costs us money and earns us everything else. If your document doesn't need an apostille, we'll tell you. If your old certified copy already qualifies, we'll use it and charge you less. The referral you send us afterward is worth more than the order we talked you out of.

You should always know where your documents are. Photos at intake, updates at every stage transition, full-color scans before anything ships, tracking numbers shared directly with you. A six-week government timeline feels fine when you can see the machine moving.
